Description of Work Unit

Founded in 1870, Colorado State University is among the nation’s leading research universities and enrolls approximately 32,000 undergraduate, graduate, and professional students. Located an hour north of the Denver metro area, Fort Collins is a vibrant community of approximately 157,000 residents that offers the convenience of a small town with all the amenities of a large city. Fort Collins is situated on the Front Range of the Rocky Mountains with views of 14,000 foot peaks, and offers access to numerous cultural, recreational, and outdoor opportunities.


The College of Business at Colorado State University is comprised of 3,750 undergraduate and over 1,600 graduate students, 60+ tenured, tenure-tracked, and special appointment faculty and 20 adjunct faculty members. There are five academic departments in addition to several centers and institutes within the College whose national accreditation is regulated by the Dean’s office. This unit supports the mission and responsibilities of the College of Business to provide a robust, relevant, comprehensive academic advising across MBA programs and Graduate Certificates offered in the College, both in residence and online.



Position Summary

The Graduate Advisor/Events Specialist position within the College of Business is a dynamic, full-time special 12-month position with an initial two-year term, renewable contingent upon available funding, continued business needs, and satisfactory performance in the role.

This position is under the supervision of the Director of Graduate Programs. This role demands a dedication to guiding students through their academic journey, whether in online or traditional campus settings. Core duties encompass a spectrum of support services, including aiding students in course selection and progression, facilitating orientation sessions, managing registrations, ensuring compliance with academic and Graduate School regulations, and assisting with the completion of requisite academic documentation. In addition, this position spearheads initiatives aimed at fostering student retention and engagement. This involves orchestrating various activities such as coordinating on-campus and hybrid elective courses and organizing networking events outside regular hours. Effective communication with faculty, students, instructional coordinators, and administrators is integral to guaranteeing the academic advancement of all students under this position’s purview.

This position may be required to work occasional irregular hours such as weekends or evenings. This position qualifies for hybrid work, in line with the Graduate Programs department operating hours determined by the supervisor.

The successful candidate must be legally authorized to work in the United States by the proposed start date; Graduate Programs department will not provide visa sponsorship for this position.



Required Job Qualifications

  • Bachelor’s degree
  • Evidence of at least one year experience in academic advising, student recruitment/retention or related student services utilizing a proactive and innovative approach which results in demonstrated outcomes in retention, graduation, and academic planning
  • Evidence of at least two years of experience in event planning or related field
  • Evidence of attention to detail as demonstrated in cover letter and resume
  • Ability to work weekends and evenings on occasion


Preferred Job Qualifications

  • Evidence of a master’s degree in higher education, business, counseling, psychology, sociology, student affairs, or related field
  • Evidence of ability to take initiative and work independently and collaboratively with various university personnel.
  • Demonstrated ability to work effectively to meet deadlines in a varied-paced or fast-paced environment

Duty/Responsibility

  • Student Services & Course Registration: Provide academic guidance and administrative advice to current graduate students. Orient new students to student services policies and procedures; keep students informed of changes as they progress. Assist students with all aspects of course registration, including course overrides, cross-program and cross-college course registration, and late registrations. Interpret curriculum requirements, options, sequencing patterns and best practices across programs while exploring student’s goals, plans, challenges, and obstacles.
    • Apply understanding, compassion and strength when working with individuals from diverse/cultural backgrounds. Apply personal and professional ethics in every decision made.
    • Collaborate with programs and resources across the campus to provide appropriate referral resources.
    • Perform transfer credit evaluations and determine transfer credit eligibility. Approve and administer course substitutions and waivers for degree requirements.

Academic Monitoring: Monitor the performance of graduate students with low GPA every term. Administer the Academic Probation Policy with students and facilitate the process with program leadership. Monitor the progress of provisional, transitional and students every term. Recommend to the Academic Advising Leadership Team the further registration of those who have not met the requirements set forth in their admission letters. Graduation Audits: Review the academic records of graduate students to determine eligibility for graduation. Keep students informed of their deficiencies to complete graduation requirements. Student Retention: Organize and participate in student recruitment, outreach, retention and engagement activities/events. Team Approach: Independently carry out projects as assigned to support the student services. Be a team player and support functions outside this description when the opportunity arises. Advise students online and in person in individual and group settings. Ability to manage a high volume of complex and varied client needs. Attend training and stay current on university policies, Graduate School policies and processes, advising resources, electronic databases, degree requirements, CSU Online policies and processes.

  • Oversee all event operations for the Evening and Online MBA programs, including but not limited to: securing space, virtual platform, negotiation of contract terms, managing event budget, developing communications and promotional items, making final decisions regarding platforms, design, décor, catering, and details for overall student experience for ;short courses, experiential activities, , and other events as required.
  • Plan and execute online and on-campus student orientations
  • Assist with planning and implementation of COB commencement activities
  • Represent the College of Business at University events and activities
  • Proactively communicate the proper expectations for the course or event to a large group of students and teams

  • Document receipt and delivery of emails, forms, etc.with students using SalesForce CRM software.
