Position Summary:
As an Administrative Assistant, you will play a vital role in providing administrative support to the onsite Community Manager and HOA office. Your responsibilities will vary, but your main duties will include offering excellent customer service, assisting with scheduling, performing general office tasks, and ensuring smooth day-to-day operations. Key Responsibilities:
Administrative Support:
Assist and provide support to the Community Manager as needed.
Manage and update information in databases.
Utilize office software for various tasks, including database management and document processing.
Operate office equipment such as fax machines, copiers, and phones.
Organize and maintain both paper and electronic filing systems, ensuring information is accurate and up to date.
Keep track of scheduling and event calendars.
Draft, type, and distribute meeting notes, correspondence, and reports.
Complete forms according to company procedures.
Conduct online research to gather needed information.
Proofread newsletters, emails, and community announcements.
Prepare copies of correspondence and other materials.
Prepare materials for meetings, including agendas and flyers.
Provide services to residents, such as issuing replacement remotes and assigning decals.
Coordinate and attend New Owner Orientations as required.
Perform additional duties as assigned.
Customer Service:
Foster a positive, respectful, and collaborative work environment.
Approach daily tasks with a "Can-Do" attitude and enthusiasm.
Ensure that all phone calls are answered courteously and efficiently, with accurate message documentation.
Support the Community Association Manager (CAM) by helping with incoming calls when necessary.
Technical Support:
Provide basic computer and phone support.
Maintain office safety and awareness.
Handle postage and mailing responsibilities.
Assist with records management and system access as needed.

Physical Requirements:
